Planning & RFP Development
My goal is to make this process as streamlined and stress free as possible. I work directly with you to understand your specific needs and help create a detailed Request for Proposal (RFP) that includes key criteria. Once the RFP is created, I have the tools to send it to any preferred city, destination or hotel with a click of a button.
Hotel Venue Source and Searching
With your RFP ready to go, I input it into my hotel search system, and send it electronically. I am able to provide a quick turnaround of options for you in a very timely manner (I like to have 7 days, but can often get results even quicker if there is a time crunch). I'll provide a full detailed excel spreadsheet and share a "quick recap" of your top options. You and your team review and tell me your top 3 choices. Now is also the time to ask questions or request a more detailed proposal. Ideally, I encourage clients to do a "live" in person site visit (it's always best to see, feel, touch & meet the hotel team you'd be partnering with). A zoom chat/site also works depending on your time. I will assist in coordinating the site visit & join you if needed.
Contract Negotiation
Now you've got your "Top 3" hotel options... Woo Hoo! This is where I advocate on your behalf & specialize in negotiating your desired concessions, hot buttons & preferred contract clauses. I am not a lawyer, (always good to run your contracts by legal) but I do have 20+ years experience with advocating successful events and long standing hotel partnerships. I've walked in your shoes & know the many hats you wear. Once your preferred hotel is chosen, I request the draft contract, review it & redline it with edits, comments & preferred clauses important to your group. You will also review, edit and then sign when it all feels right. TA DA! It's a simple 1, 2, 3 process. And I'll be by your side each step of the way.
